Privacy Policy

This Privacy Policy explains how K3 Professional Services (“we,” “us”) collects, uses, and protects your information when you use Resumaire (the “Service”). We aim to collect only what we need to run the Service for you.

Information we collect

  • Account data: your name, email address, and a securely hashed password (we never store your password in plain text). If you sign in with Google, we receive basic profile information from Google.
  • Career profile and documents: the résumé, work history, education, skills, cover letters, job postings, portfolio, and interview content you create or upload. This can include personal details you choose to add, such as phone number and location.
  • Billing data: if you subscribe, our payment processor (Stripe) collects your payment details. We receive only limited information such as your plan, subscription status, and the last digits/brand of your card — we never receive or store your full card number.
  • Usage data: basic technical and usage information (such as feature usage counts and rate-limit counters) needed to operate the Service and enforce plan limits.

How we use your information

  • To provide, maintain, and improve the Service and generate your documents;
  • To process payments, manage subscriptions, and prevent abuse;
  • To communicate with you about your account, security, and support;
  • To comply with legal obligations and enforce our Terms.

AI and your data

We do notsell or share your personal information, and we do not use the contents of your career profile to train any model of our own. When you use an AI feature, the content needed for that feature is sent to our AI provider to produce your result. We use that provider’s paid service, under which it does not use your prompts or the responses to improve its products; it keeps them briefly only to detect abuse. Company research features additionally run a web search for the company you name.

Service providers we share data with

We share data with the following providers only as needed to operate the Service. Each processes data on our behalf under its own terms:

  • Vercel: Website hosting and delivery.
  • Prisma Data Platform: Managed database hosting where your account and documents are stored.
  • Stripe: Payment processing and subscription billing.
  • Google (Gemini API): AI generation of resumes, letters, interview prep, and company research.
  • Google: "Sign in with Google" authentication (optional).
  • Adzuna: Aggregated, non-personal job-market data.
  • PostHog: Product analytics — how features are used.
  • Sentry: Error monitoring, to find and fix faults.
  • Our email provider: Sending account emails such as password resets and billing notices.

In particular, when you use an AI feature, the relevant profile content is sent to our AI provider to generate your result. We may also disclose information if required by law or to protect the rights and safety of our users and the Service.

Your rights and choices

You can access and edit your data at any time in the app. From Settings → Your data you can export everything we hold about you as a file, and from Settings → Account you can permanently delete your account and all associated data. Depending on where you live, you may have additional rights (such as access, correction, deletion, and portability); contact us to exercise them.

Data retention

We keep your information for as long as your account is active. When you delete your account, your profile, documents, and job data are removed immediately, apart from backups that roll off within 30 days. Billing records are kept up to 7 years, as tax law requires, and payment records are also held by our payment processor under its own policy.

Security

We use technical and organizational measures to protect your data, including password hashing, encrypted transport, and access controls. No system is perfectly secure, but we work to protect your information and to notify you of significant incidents where required.

Children

The Service is not intended for anyone under 16, and we do not knowingly collect data from children. If you believe a child has provided us data, contact us and we will delete it.

If you live in California

California residents have the right to know what personal information we collect and why, to request a copy or deletion of it, to correct it, and not to be treated differently for exercising those rights. We do not sell or share personal information as those terms are defined by California law, and we do not use it for cross-context behavioral advertising. Use the export and delete tools in Settings, or email us, and we will respond within the time the law allows.

If you live in the UK or European Economic Area

You have the right to access, correct, delete, restrict, or object to our processing of your data, and to receive it in a portable form. We process your data to perform our contract with you (providing the Service), to meet legal obligations (such as tax records), and for our legitimate interests in keeping the Service secure and working. You may also complain to your local data protection authority.

Where your data is processed

We are based in the United States, and we and our providers process your data there. If you use the Service from outside the United States, you understand that your data will be transferred to and processed in the United States, and where required we rely on appropriate safeguards for those transfers.

Changes

We may update this Policy from time to time. We will update the date above and, for material changes, take reasonable steps to notify you.
